It may sound strange to many people who are used to having the best software programs around them as they work or play, but one of the primary complaints in some offices is that file organization all too easily becomes clutter. To help reduce that daily clutter, and make your workplace more streamlined and efficient, try these tips.

Keep It Organized – Like Your Inbox

I have heard many systems pitched about how to efficiently manage your inbox. And for me, a system of folders and some very rigid archiving rules help me from having thousands of emails in my inbox at a time. The same goes with digital images. The only way I will ever find anything again is when I put the images into organized folders when I take them out of my camera.

In a similar vein, if you are using your browser and find bookmarks or images or text that you would like to save to put together, it may be easy to click on the bookmark link on your browser toolbar. Again, however, when you go to find those things after a few months of collecting, you will run into the inherent weaknesses that browser bookmark systems have. It can sometimes actually take longer for a person who bookmarks frequently to find a bookmark in their browser than it does to go to the history and do a search, hoping that your browser retained the details of your last visit.

Organizing Bookmarks So They Can Be Found

If you’re frustrated with your current bookmarking mania, the best solution may lay in looking at other types of software that can help you to organize things so that they can be found. One software that can do that is Clipix. Clipix is a bookmark manager and more. It runs as an add-on to your Internet browser and allows you to easily gather images, bookmarks, and files and put them into categories or areas that allow easy access from the time that you start the software. The notion appears to be that if they can cut down on the time that it takes you to find a file once you clip or save it, you will be able to create more free time for yourself.

Do Regular Purges

When you save information on a regular basis, it will not take long until you’ve got hundreds and hundreds of files, images and bookmarks. Set semi-annual or quarterly reminders for yourself to go through your files on a regular basis and eliminate anything you know longer need…or can’t remember why you saved it in the first place. With emails and other systems that allow you use tags, you can use a special tag like “temp” or “temporary” to pull similar files up quickly that you know you won’t be needing forever.

Organizing files for home or for business can be a time-consuming process. Looking at software that will save you time and money can also make your home or work place better because you will be more productive in your environment.
